Position: Client Relations Officer / Executive Assistant (Full-time / Paid)
General
The Client Relations Officer / Executive Assistant will work closely with other office staff to ensure clients feel valued and supported. Duties will include fostering positive client relations, managing inquiries, promptly directing customer complaints to relevant team leaders. The Client Services Executive will provide direct and immediate assistance to the Managing Partner (with help from the Legal Receptionist) to facilitate his day-to-day tasks and special requests.
Responsibilities
- Provide accurate information in-person and via phone/email to potential clients.
- Update calendars and schedule meetings for office attorneys.
- Inform attorneys of their schedule for the day and remind them of each meeting.
- Draft and provide letters of engagement and proposals for real property, litigation, and probate potential clients.
- Respond to intake emails in a timely and professional manner.
- Create online/digital files and upload respective documents to support the intake process.
- Provide updates, information, and relative documents to clients until they are assigned to a staff member.
- Provide immediate assistance as needed to Litigation Attorney on litigation matters (i.e. drafting legal documents, probate documents, LOE’s, proposals, and communicating with clients)
- Provide quick updates to clients to ensure a positive and professional client experience.
- Expedite serious issues to management toward prompt resolution.
- Building positive client relations by checking in regularly and following up on active processes and/or to obtain outstanding documents/requirements.
- Recommending office improvements based on client services feedback.
- Update client digital files with Google Meeting summaries and transcripts as they become available.
- Assist with corporate and legal department tasks when necessary.
- Manage Real Property Department intake excel sheet for Managing Partner and provide current updates as needed.
- Provide direct assistance to the Managing Partner.
Qualifications
- Experience as legal assistant preferred
- Computer literacy
- Proficiency in English (proficiency in Spanish a plus)
- Exceptional organizational skills and attention to detail
- Exceptional writing and problem-solving skills
- Ability to multitask in high-pressure situations
- Deadline-oriented
- Energy and initiative
- Ability to work in independent and collaborative settings
- Calm demeanor dealing with clients
- Experience with real estate and/or international trusts a plus
