The Corporate Assistant will support the operations of the Corporate Department in our growing, innovative office.

 

Key Responsibilities

1. Company Renewals & Filings

  • Assist with annual company renewals, ensuring all filings are completed accurately and on time via the Online Business Registry System (OBRS).

  • Prepare and review renewal documentation and correspondence before submission.

  • Maintain accurate records of renewal dates and proactively follow up to avoid missed deadlines.

2. Due Diligence & Compliance

  • Collect and review due diligence documentation in line with compliance and regulatory requirements.

  • Maintain up-to-date compliance records for clients and companies.

  • Assist in preparing reports or summaries for regulatory inspections and internal audits.

3. Portfolio Management

  • Maintain and organize the company portfolio, including client files, corporate documents, and tracking systems.

  • Update company records and ensure all filings are accurately reflected in the OBRS.

  • Assist with drafting and managing company resolutions, registers, and other corporate documentation.

4. Client Communication & Support

  • Act as a point of contact for clients, providing updates on filings, renewals, and compliance requirements.

  • Draft professional correspondence, including emails and letters, to clients on corporate matters.

  • Gather and organize client information and documentation efficiently and accurately.

5. Departmental Support & Learning

  • Learn and adapt to the department’s internal procedures and workflows.

  • Assist with special projects and other ad hoc tasks assigned by the Corporate Manager.

  • Support process improvements to enhance client service and operational efficiency.


Qualifications:

  • Previous experience in corporate services, legal, or compliance roles preferred.

  • Ability to speak a second language such as Spanish or Mandarin preferred.
  • Strong organizational skills with excellent attention to detail.

  • Effective verbal and written communication skills.

  • Proficiency in Microsoft Office Suite.

  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • A proactive, professional mindset with a strong willingness to learn.
