We are looking for a Legal Receptionist to operate our front desk daily and to perform a variety of administrative and clerical tasks. As our Legal Receptionist, you will be the first point of contact for Wrobel & Co. To apply for the Property Associate Assistant position, please read the following carefully.

Our Legal Receptionist duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as Legal Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

This role requires you to work with others, so a team-player trait is a must. The Legal Receptionist will ensure the front desk welcomes guests positively and executes all administrative tasks to Wrobel & Co.’s highest quality standards.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the conference room / appropriate office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, record, and distribute daily mail/deliveries
  • Scan contents in packages and send to respective staff member
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Inform attorneys of their schedule for the day and remind them of each meeting
  • Draft and provide letter of engagements and proposals
  • Respond to intake emails and provide accurate information
  • Prepare notarizations and apostille
  • Create online/digital files and upload respective documents to these matters
  • Create Clio bills
  • Prepare and send out letters/packages
  • Arrange travel and accommodations
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and translating
  • Assist with other assigned tasks

 

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. telephones, printers, etc.)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to meet consistent attendance and punctuality
  • Customer service attitude
  • Associates Degree or higher
  • Flexibility with lunch break hour
