Under the guidance of the Managing Partner and supervision of the Corporate & Legal Services Associate, the Front End Office Assistant & Messenger provides reliable messenger services as well as clerical duties. The Front End Office Assistant & Messenger demonstrates a client-oriented approach, tact, and ability to work with people of different national and cultural backgrounds. We are looking for a competent Office Assistant & Messenger to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. Ultimately, an exceptional messenger will render friendly and efficient services that surpass our clients’ expectations.
Duties and Responsibilities
Summary of key functions:
Front End Services
- Monitor level of supplies and work with the Legal Receptionist to provide weekly updated inventory list
- Open and close office shutters
- Fill in for the Legal Receptionist when needed
- Assist the Legal Receptionist as needed.
Administrative Support
- Assist any staff member with photocopying, scanning, and filing
- Perform filing duties, which may include ‘purging’ and archiving old documents
- Clean, organize, and maintain office common areas (inclusive of the kitchen and bathrooms)
- Remove garbage from the offices, kitchen, and bathrooms at the end of each business day
- Resolve office-related malfunctions and respond to requests or issues
- Maintain/service office equipment as needed
- Provide administrative support for each department when necessary to ensure office effectiveness.
- Other duties as required.
Messenger Services
- Collection and delivery of mail and other materials as required from and to the post office, government agencies and other institutions.
- Packaging/packing of material received for dispatch; labeling, inserting material in envelopes and marking outgoing mail.
- Maintenance of records ensuring accuracy and validity of information
- Other duties as required.
